Send confirmations and self-service links after important actions.

Automations help participants receive the right next step without your team sending every message manually.

Set the Sender

Use a sender name and email address participants will recognize. This makes confirmation emails easier to trust and find later.

Application Confirmations

Application confirmation emails should tell the participant that the response was received and include the edit link when edits are allowed.

Keep the message short. Include the form or event context so the participant knows what the email is about.

Volunteer Confirmations

Volunteer confirmation emails should include the event, role, shift time, instructions, and withdrawal link when the shift can still be withdrawn.

QuietDoor also shows the self-service link on the confirmation screen so the participant has it even if the email is delayed.

Troubleshoot Delivery

If someone cannot find an email, ask them to check spam and confirm the email address they used. If needed, resend the relevant link from the workspace.

Do not include staff-only notes or private review details in participant emails.
